1. Who we are
Better Half Tech Pty Ltd (ACN 697 473 528) (“Better Half”, “we”, “us”) operates the Better Half mobile application and related services (“Better Half” or “the Service”). We are based in Australia and are bound by the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

2. What this policy covers
This policy explains how we collect, use, store, share, and protect personal information when you use the Better Half mobile app, the related backend services, and any public web pages we operate (for example, links shared with your customers to view a quote or pay an invoice).
It does not cover third-party services we link to (for example, your customer’s payment to an external payment page, or external mapping providers). Those parties have their own privacy policies.
3. Information we collect
3.1 Information you give us
- Account details: your phone number (used for sign-in via SMS one-time code), your name, your business name and trade, and any business information you choose to add (ABN, address, logo, etc.).
- Customer and job data: contact details for the customers you enter (names, phone numbers, addresses, notes), and the quotes, invoices, and jobs you create for them.
- Payment information: when you accept payment through Better Half, card details are entered directly into our payment processor and are never stored on our servers. We retain only a transaction reference, the amount, and the payment status.
- Voice recordings: when you use voice dictation to create a quote, the audio is sent to our speech-to-text provider for transcription and is then discarded. We retain only the resulting text.
- Profile photo: if you choose to upload one from your photo library.
3.2 Information we collect automatically
- Device and usage data: device model, operating system version, app version, crash logs, and basic interaction analytics (which screens you visit, which features you use).
- Approximate location: when you accept a payment using Tap to Pay, your device’s location is collected by our payment processor to verify the transaction and meet card-network requirements.
- Push notification token: a device-specific identifier used to send you alerts about jobs, payments, and customer activity.
3.3 Information your customers give Better Half
When your customers interact with a public link you share (for example, viewing a quote or paying an invoice), Better Half may collect their name, contact details, and payment information directly from them. We process this data on your behalf as part of providing the Service to you.
4. How we use your information
We use personal information to:
- Provide, operate, and improve the Service.
- Authenticate you when you sign in.
- Process payments you accept through our payment processor.
- Transcribe voice dictation into editable text.
- Send you push notifications and transactional emails or SMS related to your account or your customers’ actions.
- Detect, investigate, and prevent fraud, abuse, or violations of our terms.
- Comply with legal obligations (for example, tax record keeping).
We do not sell your personal information, and we do not use it for advertising.
5. Who we share information with
We share data with service providers as needed to operate the Service — including cloud hosting, payment processing, AI voice and language-model services, communications (SMS, email, push notifications), mapping, and crash reporting.
We do not allow any of these providers to use your data — or your customers’ data — to train AI models, build advertising profiles, or for any purpose other than delivering the specific service we’ve contracted them for.

We may also disclose information if required by law, court order, or to protect our rights, property, or safety, or that of our users.
6. Call recording and AI processing
Better Half’s core feature is an AI receptionist that answers your business phone calls. This means every call to your Better Half number is recorded, transcribed, and processed by AI. Specifically:
- Recording. Inbound calls to your Better Half number are recorded in full. The recordings are stored in our database (hosted in Sydney, Australia) for as long as the related lead exists in your account.
- Live AI handling. During the call itself, the audio is streamed to our AI voice synthesis and language-model providers, which process the audio in real time and do not retain it for training or any purpose beyond delivering the immediate response.
- Post-call extraction. After the call ends, the transcript is sent to our language-model provider, which extracts structured lead information — caller name, address, urgency, the nature of the job. The transcript and the extracted data are stored on your account.
- No model training. None of our AI providers are permitted to use your call data, your customers’ voices or words, or any other data from Better Half to train, fine-tune, or improve their AI models. This is a contractual requirement of every AI provider integration.
Your obligations to your customers
You are responsible for any consent or notification obligations to your customers under Australian state and federal law:
- Most Australian states (NSW, VIC, QLD, WA, SA, ACT, NT) follow a single-party consent rule for telephone recording — only one party to the call needs to know it’s being recorded, and as the business operating the line, that’s you.
- Tasmania requires all-party consent for some recordings; check current rules if you operate or receive calls there.
- The AI receptionist always introduces itself as an AI assistant at the start of each call. You can tailor the introduction (its name, your business name) but you cannot disable the AI disclosure.
- We recommend your business voicemail, website, or other public-facing material include a brief notice that calls to your number may be answered and recorded by an AI assistant. The exact wording is your choice; the principle is plain disclosure.
You retain control of the call recordings on your account: you can delete any individual lead (which deletes the associated recording, transcript, and extracted data) or your entire account at any time via Settings → Account → Delete Account.
7. Direct marketing and the Spam Act
We do not use your personal information, or your customers’ personal information, for our own direct marketing.
When you use Better Half to send SMS messages to your customers (for example, an invoice link or a quote follow-up), you are the sender for the purposes of the Spam Act 2003 (Cth). That means:
- You must have your customers’ consent (express or inferred from the existing business relationship) before sending them commercial electronic messages.
- Every SMS we send on your behalf includes the sender identification required by the Act and an opt-out mechanism (replying STOP, UNSUB, or equivalent).
- We honour and enforce opt-outs at the platform level: when a customer replies STOP, that recipient is permanently blocked from receiving further SMS from your account, and we record the opt-out for our compliance audit trail.
If you receive a complaint or a query from a recipient about an SMS sent through Better Half, you are the first responsible party. We will assist by providing message logs and opt-out records on request.
8. International data transfers
Several of our sub-processors are located outside Australia, primarily in the United States and the European Union. By using Better Half, you consent to your information being transferred to and processed in those countries. We take reasonable steps to ensure these providers protect your information to a standard at least equivalent to the Australian Privacy Principles.
9. How long we keep your data
- Active accounts: we keep your data for as long as your account is active.
- Closed accounts: when you delete your account, we delete your personal data within 30 days, except for records we are legally required to retain (for example, financial records under Australian tax law, retained for 7 years).
- Backups: encrypted backups may persist for up to 90 days after deletion before being overwritten.
- Voice dictation audio: discarded immediately after transcription.
10. Your rights
Under the Australian Privacy Principles (and the GDPR if you are located in the EU/UK), you have the right to:
- Access the personal information we hold about you.
- Correct inaccurate or incomplete information.
- Delete your account and personal information.
- Object to or restrict certain types of processing.
- Receive a copy of your data in a portable format.
- Withdraw consent where processing is based on consent.
- Lodge a complaint with the Office of the Australian Information Commissioner (oaic.gov.au) or your local data protection authority.

11. Security
We protect your information using:
- TLS encryption in transit between the app and our servers.
- Encryption at rest in our database and file storage.
- Row-level access controls so each user can only see their own data.
- Industry-standard authentication (one-time SMS codes, no passwords stored).
- Regular security reviews of our codebase and infrastructure.
No method of transmission or storage is 100% secure. If we become aware of a data breach affecting your personal information, we will notify you and the OAIC in accordance with the Notifiable Data Breaches scheme.
12. Children
Better Half is intended for use by tradespeople aged 18 and over. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with information, contact us and we will delete it.
13. Changes to this policy
We may update this policy from time to time. When we do, we will:
- Update the Effective date at the top.
- Notify active users in-app or by email if the changes are material.
Your continued use of Better Half after changes take effect means you accept the updated policy.
